Job Summary

The Office of General Counsel Administrative Coordinator provides administrative support to attorneys and other staff in the Office of the General Counsel (OGC). The Administrative Coordinator will be responsible for preparing routine communications and reports, facilitating process flows, maintaining databases, coordinating meetings, and  tracking projects. 

Duties and Responsibilities


•    Provides administrative support to the OGC to facilitate operational efficiency related to internal counseling matters, investigations and third party inquiries.
•    Supports the firm’s processes related to the review, tracking, approval and implementation of outside counsel guidelines, vendor requirements, and similar documents to ensure effective compliance and documentation.
•    Maintains organized document repositories and supports contract management systems, to help the OGC preserve accurate, accessible records and manage critical firm agreements.
•    Assists with the firm’s compliance obligations, including  mandatory reporting, attorney bar membership tracking, annual certifications, and compliance surveys to support the firm’s ongoing adherence to legal and professional standards.
•    Manages collaborative tools (like SharePoint and project trackers), collects and synthesizes data for reporting purposes, and supports departmental initiatives through effective communication and organization.
•    Assists in the creation, organization, and maintenance of vendor and third-party contract files within iManage and firm repositories, and ensure timely posting of finalized contracts.
•    Supports processes for attorney onboarding and departures, provides logistical help around meetings and presentations, and assists with travel and expense coordination.

Competencies/Skills


•    Ability to maintain strict confidentiality regarding office data.
•    Demonstrated ability to communicate clearly and effectively, both orally and in writing with internal and external contacts.
•    Demonstrated working knowledge of Windows and MS suite of products such as Word, Excel and PowerPoint. 
•    Must possess a thorough command of the English language including excellent spelling, grammar and punctuation.  
•    Demonstrates ability to work effectively both independently and with others in a cooperative, enthusiastic, innovative, and friendly manner to accomplish position functions and participate in team efforts.  
•    Demonstrated ability to adapt to changing priorities, to maintain a productive and committed work effort, and to deal with difficult situations and/or individuals, meeting deadlines and managing workload.
•    Ability to work overtime hours as requested.

Education
This position requires an Associate Degree or equivalent training and experience regarding the position requirements may substitute for education. 

Experience
This position requires a minimum of four (4) years of experience in a legal administrative support role.

Our Firm is committed to fair and equitable compensation practice in accordance with applicable laws. The salary range for this position is $66,000 – $87,000. Additional compensation may include a discretionary bonus. The salary for this position may vary based on location, market data, an applicant’s skills and prior experience, certain degrees and certifications, and other factors.
